What we know
about you.
THE916 collects personal information in a small number of specific places: the email list, the Collective purchase, your member profile, and emails you send us. This explains each one — what is collected, why, who else handles it, how long it is kept, and what you can require us to do about it.
01Who is responsible
Gerard Armstrong, trading as THE916, at BT13 3PG, Belfast, is the data controller for the information described here. That means we decide what is collected and why, and we are accountable for it.

02Visiting the website
What: Vercel Analytics records anonymous page views and basic technical information about the visit — the page, referrer, approximate country, device type and browser.
Why: to understand which pages are being read and whether the site works, without building profiles of individuals.
Lawful basis: our legitimate interest in understanding and maintaining our own website. This measurement does not use cookies and does not identify you.
03Joining an email list
What: the first name and email address you submit.
Why: to send THE916 build notes, first looks and invitations.
Who else: Kit, which runs our email lists and sends those emails.
Lawful basis: your consent, given when you submit the form. You can withdraw it at any time using the unsubscribe link in any email, and that link works without contacting us.
04Buying a Collective membership
What: your email address, the fact and amount of the payment, the date and time it succeeded, your membership start and end dates, your founding place number, and the identifiers Stripe gives the payment and checkout session. If Stripe supplies a customer identifier, we store that too.
What we never see: your full card number. Card details are entered with Stripe and handled by Stripe. They do not reach THE916's systems, and we could not retrieve them if we wanted to.
Why: to take the payment, give you the membership you paid for, know which membership is yours, answer questions about it, handle refunds, and keep the accounting records we are required to keep.
Who else: Stripe takes the payment and holds its own record of it as a controller in its own right. Supabase hosts the database the purchase record lives in.
Lawful basis: performance of our contract with you, for taking the payment and providing the membership. For the accounting record, our legal obligation to keep it.
05Your confirmation email
What: your email address, and the contents of the confirmation — the amount paid, the payment date, your membership dates and where to go next.
Why: so you have a written record of what you bought. This is a transactional message about your contract, not marketing, and it is sent once per purchase.
Who else: Resend, which delivers the message.
Separately: after a successful purchase we also add your email address to Kit and tag it as a founding member, which is what triggers member onboarding emails there. You can unsubscribe from those. You cannot unsubscribe from the confirmation of your own purchase, because it is part of the contract rather than a mailing.
Lawful basis: performance of our contract with you, for the confirmation. We use Kit to send information about your membership and onboarding. You can unsubscribe from these emails at any time.
06Your founding member profile
What: whatever you choose to put in it — your name, what you are trying to move forward, where you are starting, the goals you select, what would make your first six weeks worthwhile, a link to your work, and any free-text notes you add.
Why: so that the material, feedback and introductions you get are actually relevant to you rather than generic.
Who else: Supabase hosts the database it is stored in. It is not sent to Kit and it is not published anywhere.
The profile is optional and you decide what goes in it. Please do not put anything in the free-text fields that you would not want us to hold — they are not the place for health information, financial details or anything else sensitive.
Lawful basis: our legitimate interest in making the membership you bought more useful to you. You can ask us to delete the profile without affecting your membership.
07The community on Skool
The private community runs on Skool, a third-party platform. To take part you create or use a Skool account, and the information you give Skool — and what you post there — is handled by Skool under its own terms and privacy policy. We administer the THE916 space; we do not run the platform.
We provide your invitation. We do not send Skool your member profile or your payment information.
Lawful basis: performance of our contract with you — community access is part of what you bought.
08Emailing us
What: your email address and whatever you write to us, including anything you attach.
Why: to answer you, and to keep enough of a record to deal with the same issue if it comes back.
Lawful basis: performance of our contract with you where it concerns your membership; otherwise our legitimate interest in answering people who contact us.
09Who processes your information
These are every service that currently handles personal information for THE916. There are no others, and we do not sell your information to anyone.
- Stripe — payments. Card details, payment and checkout identifiers, and Stripe's own customer record. Stripe is also a controller in its own right for the payment.
- Supabase — the database holding purchase records, membership status, your email address, Stripe identifiers, and your member profile.
- Resend — delivery of transactional email, such as your purchase confirmation.
- Kit — email lists, the founding member tag, and the emails sent from it.
- Skool — the private community platform.
- Vercel — website hosting and anonymous analytics.
10Where your information goes
Some of our service providers may process information outside the UK. Where this happens, we take reasonable steps to ensure appropriate protections are in place. If you want to know more about how a particular provider handles your information, ask us.
11How long it is kept
We have not set arbitrary periods. What we keep, and for how long, follows from why we have it:
- Payment and accounting records — kept for at least 5 years after the 31 January submission deadline for the relevant tax year, as required for a sole trader's business records. This is not our choice and it survives a deletion request.
- Membership records — kept for the 12-month term and for a limited period afterwards, so we can answer questions about a past membership or deal with a dispute. Then deleted, other than what accounting law requires us to keep.
- Your member profile — kept while your membership is active. Deleted on request at any time, and reviewed for deletion once the membership ends.
- Email list information — kept until you unsubscribe or ask us to remove it, plus the minimum Kit needs to honour the unsubscribe.
- Support email — kept while the issue is live and for a reasonable period afterwards.
If you want to know how long we hold something specific, ask.
12Your rights
Over the information we hold about you, you can:
- ask for a copy of it;
- ask us to correct it if it is wrong;
- ask us to delete it, where we are not required to keep it;
- ask us to restrict what we do with it while something is being sorted out;
- object to processing we carry out on the basis of legitimate interests;
- ask for a portable copy of information you gave us, where that applies;
- withdraw consent, where consent is what we rely on — which for marketing email is the unsubscribe link.
Email hello@the916.com. We will respond within one month. It is free, and we will not ask you to justify the request.
13Complaints
If you are unhappy with how we have handled your information, tell us first and we will try to put it right.
You also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office, at ico.org.uk/make-a-complaint. If you live elsewhere, you may be able to complain to your own country's supervisory authority instead.
14Changes to this notice
If what we collect or who processes it changes, this notice changes with it and the date at the top is updated. This version replaces an earlier notice that described only the email list.
